Aprende cómo optimizar tu tiempo durante el día para que te liberes del estrés y puedas terminar todas tu tareas.
Lou Gerstner, antiguo CEO de IBM, dijo una vez algo que se me quedó grabado en la mente: “Nunca dejes que nadie sea dueño de tu tiempo”. Es simple y obvio. A través de los años, cuando ignoré este consejo, me estresaba y no era productivo. Gradualmente aprendí que planear y seguir una rutina hace toda la diferencia en mi vida. Aquí hay algunas cosas que me ayudaron a manejar mi horario:
1. Crea una rutina. No importa en qué estés trabajando, crea una rutina. Haz que tu calendario sea un montón bloques y pon actividades en éstos. Lo que no esté planeado no lo hagas. Si quieres tiempo libre, organízalo. Tu rutina puede cambiar a lo largo del año, pero en cualquier momento es mejor tener un plan.
2. Juntas de grupo y llamadas en bloques. Por ejemplo, si necesitas tener reuniones al aire libre, bloquea dos días y medio a la semana para eso. Haz lo mismo para las juntas dentro de la oficina. De esta forma sabrás en qué momentos debes hacer cosas más importantes. Haz lo mismo con las llamadas.
3. Optimiza tu tiempo para diferentes tipos de juntas. Personalmente ahora soy fan de las reuniones de 30 minutos y las llamadas de 10 minutos. Creo que las últimas son una gran forma de conectarte inicialmente con alguien o darle un consejo rápido. Puedes hacerlo por Skype o Google Hangouts si quieres ver a la persona y no sólo oírla. Las llamadas cortas te permiten llegar al punto.
No soy fan de las juntas en donde hay puro desconocido, sino de las que ya conoces a la gente. Esas juntas son más divertidas y productivas. Si es la primera vez que ves a alguien, es mejor hacer una llamada o una reunión de 30 minutos. Aquí hay algunos tipos de juntas que quizás quieras agendar:
– 30 minutos en la oficina para conocer a alguien o ponerte al corriente.
– Juntas de 45 minutos fuera de la oficina. Aparta 15 minutos para desplazarte.
– Llamadas de 10 minutos para ayudar a alguien que necesite un consejo.
– 15 minutos para estar de pie todos los días.
– 30 minutos a la semana para tener juntas con tu equipo.
No importan las juntas que pongas en pausa, ponlas en bloques dependiendo de tu horario en particular. Si sientes que una cita necesita más tiempo, ajusta ese bloque.
4. Usa espacios para citas. Hay una gran característica en Google Calendar especial para apuntar citas. Te permite agendar tiempo y dividirlo en partes. Por ejemplo, puedo agendar tres horas de juntas fuera de la oficina y luego dividirla en tres diferentes, de una hora cada una.
5. Bloquea el tiempo para revisar correos electrónicos. Este es el consejo más importante. El email puede saturarte si tú se lo permites. Para evitar que pase esto, no lo revises todo el tiempo.
6. Planea hacer ejercicio y pasar tiempo con la familia. A menos que lo pongas en tu calendario, no lo harás. Ya sea que lo agendes en la mañana, tarde o noche, ejercítate tres veces a la semana o todos los días. Lo mismo cuando planeas tiempo con tu familia. Si eres un adicto al trabajo, como yo, terminarás robando tiempo de tu familia a menos que agendes tiempo desde antes para estar con ellos.
7. Realmente maneja tu tiempo. Pienso mucho acerca de mi tiempo. Siempre pienso de dónde puedo sacar más y cómo puedo optimizarlo. Me da gusto hacerlo yo y no dejar que alguien más como mi secretaria lo haga. Me junto con muchas personas en la semana y mi horario siempre está apretado, pero al seguir una rutina, planear mis juntas y usar espacios para poner reuniones, se me quita la presión y me siento menos estresado. Inténtalo, te sentirás más productivo y feliz.
